WORKFLOWS

How Albert helps with your workflows

The more information you add, the better the results. Each workflow builds on the one before.

FIRST STEP

Onboarding

This is how the service is set up, so Albert has enough information for the steps that follow.

1

Tell Albert about your company

Add your company website and key files to Albert's knowledge base. The better Albert knows your company, the more accurately it can build your CRM, website and other content, and help with everyday work.

2

Create your brand identity

Give Albert your brand guidelines or your current website. Albert recognises your company's style and suggests matching colours and typography, so your website and documents look like your own — not like a ready-made template.

3

Connect your Google or Microsoft account

Link your account to Aistin to keep emails and calendars in sync. Manage meetings in Aistin, add a booking calendar to your website and let Albert draft messages based on your company's knowledge.

TIP

Add your profile picture

Your picture is shown to your team in the app, in documents and in content Albert produces. That way everyone can always see whose name the content was published under.

WORKFLOW 1

Set up your CRM

This is how your CRM is built around your company's goals, customer data and way of selling, so Albert can help you grow customer relationships and sales.

1

Define your CRM goals

Tell Albert what you want to achieve with your CRM and what kind of customers you are after. Albert helps define your ideal customer profile and builds the CRM around your goals.

2

Import your existing customer data

Bring your existing contacts, companies and deals into Aistin. If you are starting from scratch, you can skip this step and fill in the details later.

3

Build your pipeline stages

Albert suggests pipeline stages that fit how you work. Review and adjust them to match your own sales process, so it stays clear how each customer is progressing.

4

Finalise your CRM settings

Albert suggests a name for your CRM and sales pipeline and picks initial settings based on how you will use it. You can review and edit the suggestions before going live.

After this, you can also:

Albert finds leads from public sources

Albert fills in contact details for deals

Albert drafts sales emails

WORKFLOW 2

Set up quotes

Create quotes based on your company's look and knowledge, right where the sales work happens. A quote can be a text document or a presentation, sent from Aistin and accepted with an email-based confirmation.

1

Define how you quote

Tell Albert how your company puts quotes together and what information they should draw on. Define, for example, the structure, content, pricing principles and the sources used in quotes.

2

Create a quote template for your company

Albert prepares a quote template based on your company's information, brand and, where useful, previous quotes. You can finish the structure and content together with Albert.

3

Make your first test quote

Create your first quote using a real or test customer. Check the content, layout, sending and the customer's approval process before the workflow goes live.

4

Decide when a quote is drafted

Choose what triggers a new quote draft — for example, a deal moving to a particular pipeline stage. Albert prepares the quote automatically, but a person always approves sending it.

After this, you can also:

faster quote preparation

tracking when quotes are opened and how much interest they get

accepted quotes added automatically to the customer's history

WORKFLOW 3

A website that captures leads

Create a new website with Aistin, revamp your current site, or build lead forms to embed on your existing pages. Enquiries go straight into customer relationship management and become part of your sales workflows.

1

Choose your starting point

Decide whether to build a brand-new site, move your current site to Aistin with a refresh, or create a lead form to embed on your existing pages.

2

Plan the site with Albert

Albert draws on your company's information, current website and brand, and suggests the site structure, messaging and customer journeys. The aim is to guide visitors naturally towards getting in touch or another desired action.

3

Approve the direction of the home page

Albert builds a first version of the home page based on your brand and the plan. Review the structure, messaging and look before the rest of the site is built.

4

Build and publish the remaining pages

Once the direction is approved, Albert helps build the remaining pages and content. Forms and other enquiries connect straight into customer relationship management.

After this, you can also:

scheduled content production

weekly improvement suggestions based on analytics

A/B testing and conversion optimisation

WORKFLOW 4

A chatbot that serves customers

Add a chatbot to your site that serves visitors from your company's own knowledge — in sales, support and other customer interactions. Conversations and enquiries go straight into customer relationship management.

1

Define its role and knowledge base

Tell Albert what the chatbot needs to handle and choose which of your company's information it may use in its answers. Albert helps set the chatbot's boundaries and tone of voice.

2

Brand it and test it

The chatbot inherits your company's brand identity automatically. Test conversations and refine the answers before publishing.

3

Embed it on your site

Add the chatbot to your Aistin site or to any existing website with a lightweight embed.

4

Route enquiries into your CRM

Leads and contact details identified in conversations are saved to customer relationship management and become part of your sales workflows.

After this, you can also:

automatic lead capture from conversations

support answers from your company's own knowledge

conversation history attached to the customer

WORKFLOW 5

Calendar and bookings

Manage events and meetings in the Aistin calendar and let your customers book times straight from a branded booking page. Bookings land in your calendar and your CRM without separate tools.

1

Set up your calendar

Create your own calendar for events and meetings. Google or Microsoft sync keeps it up to date everywhere.

2

Define meeting types

Create the meetings you offer — duration, location or video call, and the details to ask the customer in advance.

3

Open your booking page

A branded booking page is created on top of your calendar. Aistin accounts for booked times automatically, so there are no double bookings.

4

Share and embed

Share your booking link in messages or embed booking on your website. New bookings show up instantly in your calendar and CRM.

After this, you can also:

booking link straight in quotes and emails

reminders for attendees

bookings become part of the customer's history

WORKFLOW 6

Customer communication in one place

Connect your Google or Microsoft account and handle customer communication in one place. Albert drafts messages based on your company's knowledge, and messages are saved with the right customer.

1

Connect your account

Link your Google or Microsoft account so your email and calendar stay in sync with Aistin.

2

Messages linked to customers

Customer messages are linked automatically to the right customers, so the full conversation history is always in view.

3

Albert drafts, you approve

Albert suggests replies and follow-up messages based on your company's knowledge and past communication. You always approve what gets sent.

4

Arrange and track meetings

Arrange meetings as part of your customer communication. They show up both in your own calendar and in the customer's history.

After this, you can also:

automatic follow-up messages based on pipeline stages

message summary when you open a customer

meeting notes straight into the customer's history

WORKFLOW 7

Documents as Albert's knowledge base

Create text documents, presentations, spreadsheets and task lists in your company's look — from plans to meeting notes. Documents also serve as Albert's knowledge base, and you can share them securely with customers.

1

Create or import your first documents

Start with business plans, meeting notes or existing files. Albert helps you draft based on your company's knowledge.

2

Add documents to Albert's knowledge base

Choose which documents Albert may use. That way the latest information is always part of Albert's answers and content.

3

Polish the look and export in the format you need

Documents follow your company's brand, and you can export them, for example as PDF for sharing and printing.

4

Share securely

Share a document via a link or with email verification, and when needed request email-verified approval straight from the document.

After this, you can also:

meeting notes straight from ChatGPT or Copilot into Aistin

version history and named versions

linking documents to customers

Less tool chaos, more work that matters.
